Challenges & Goals
In a global biopharmaceutical manufacturer that had recently undergone a corporate acquisition, leadership sought to elevate the performance of its contingent workforce and streamline hiring operations. The company had hundreds of contractors and multiple staffing vendors, but data on vendor performance and candidate quality was scattered across systems. The goal was to create a secure, centralized analytics portal for all talent pool metrics one that would improve visibility into vendor effectiveness, accelerate time to fill for open roles, and ultimately reduce talent acquisition costs.
Solution
As the Senior AI/ML Engineer on this project, Ahmed Ali led the design and implementation of the talent analytics platform from the ground up. He architected a secure web portal where all vendor performance and candidate quality data were aggregated and visualized in near real time. Using AWS serverless technologies (AWS Lambda, API Gateway) and Python, he and his team built robust ETL pipelines to ingest and reconcile data from disparate vendor management systems and HR databases. These pipelines were designed for high accuracy and reliability data ingestion errors were reduced by 25%, and the process achieved 99.9% uptime through automated error handling and retries.
On the front end, Ahmed developed interactive dashboards using Tableau, enabling hiring managers and recruiters to track key performance indicators (KPIs) like time to fill, submission quality, and vendor responsiveness with sub hourly data refreshes. This real time visibility meant that bottlenecks or delays in the recruitment process could be identified and addressed immediately, contributing to a 33% reduction in average time to fill for open positions. The platform’s dashboards also allowed HR and procurement stakeholders to compare vendor scorecards at a glance, fostering a data driven approach to vendor management. To ensure the metrics were actionable, Ahmed collaborated with HR and procurement leaders to define the vendor performance scorecards, making sure the portal’s metrics (e.g. submit tal to hire ratios, contractor quality ratings, compliance measures) aligned with business objectives and informed better sourcing strategies across regions.
To ensure the solution was maintainable and scalable, modern Infrastructureas Code practices were employed. Ahmed implemented the entire cloud infrastructure using Terraform scripts, and set up AWS Code Pipeline for continuous integration and deployment. This automated IaC approach made deployments consistent and auditable, and it cut provisioning time for new environments by roughly 50%. It ensured that updates to the analytics portal could be rolled out frequently with minimal risk, with every environment (development, QA, production) remaining in sync and reproducible.
Key Results
- Onboarded 1,200+ contractors into the private talent pool within 12 months, yielding approximately $2 M in annual cost savings in talent acquisition.
- Boosted data ingestion accuracy by 25% and achieved 99.9% pipeline uptime, ensuring reliable, trustworthy metrics for decisionmakers.
- Reduced average time to fill for critical roles by 33% through real time KPI tracking and proactive process improvements.
